Position Summary

Reporting to the Registrar, the Associate Registrar, Enrolment Services is a key member of the Office of the Registrar leadership team. The Associate Registrar, Enrolment works closely with NLC leadership and departments to promote a service-oriented student success experience from initial student contact through to convocation. The Associate Registrar, Enrolment Services ensures exceptional business processes in support of the efficient operation of enrolment services, admissions, financial aid, and related functions of NLC. The incumbent leads business process improvement and effective student communications and works closely with the Associate Registrar Records & Systems on the development, management, delivery, maintenance and benchmarking of services, systems and related policies for the Registrar’s Office, in addition to staff hiring, development and evaluation.

Knowledge and Skills

Key Area of Oversight

  • in consultation with the Registrar, Associate Registrar Records & Systems, Vice President Academic & Research, and Associate Vice President of Educational Services, supports strategic enrolment planning for NLC’s growth and student success
  • supports the Registrar in the evaluation, implementation, and monitoring of college policies and programs, recommending changes based on consultation with the college community, as well as external research for best practice
  • initiates and facilitates change to existing services and develops new processes that will deliver enhanced enrolment services to students
  • manages and facilitates special projects
  • supervises and supports staff in the Enrolment Services Portfolio

Duties and Responsibilities

Key Responsibilities:

  • initiate regular and comprehensive process review and documentation of standard operating procedures for Enrolment Services, Financial Aid, and Admissions
  • monitor policies and procedures related to admissions, recommending improvements or enhancements to service standards
  • collaborate and consult NLC faculty and other stakeholders in the development and implementation of services, policies and procedures related to domestic and international student admissions, transfer credit and student enrolment services
  • oversee the day-to-day business operations of Enrolment Services Team, including supervising staff, handling employee relations issues and conducting performance reviews
  • develop innovative and appropriate employee onboarding and training materials for staff within Enrolment Services to enable engagement and ability to competently fulfill their respective duties
  • ensure direct reports align with NLC’s vision and strategic direction
  • collaborate with NLC departments, programs and committees to inform decisions, enhance service delivery and streamline processes
  • coordinates training initiatives for student systems, ensuring end-user understanding
  • establish metrics for Enrolment Services and determine accountability measures to monitor performance and achievement of enrolment goals
  • foster awareness of service standards, best practices and adherence to NLC regulations, policies and procedures
  • develop, improve and implement policies and procedures that support enrolment services and related functions of NLC
  • represent the Office of the Registrar on internal and external committees, including Education Council subcommittees.
  • act on behalf of the Registrar in the Registrar’s absence
  • act as a back up to the Associate Registrar Enrolment Services in their absence
  • participate in professional development to maintain knowledge of developments in student services and post-secondary education
  • act as the functional expert for Registrar’s Office enrolment, specific to enrolment services and admissions

Education

Selection Criteria Include:

  • an undergraduate degree in a relevant discipline, or an equivalent combination of knowledge and experience
  • 3 years’ of progressive experience in an Office of the Registrar, Enrolment or Student Services environment
  • 2 years’ experience in supervising, coaching, leading and mentoring staff in a unionized environment

You are someone who has:

  • knowledge and experience developing an student-centered approach in enrolment services
  • knowledge and experience working with Student Information Systems (e.g., Colleague)
  • in-depth knowledge of the student life cycle within a post-secondary institution
  • experience in project management, business process analysis and strategic planning
  • knowledge and understanding of Freedom of Information and Protection of Privacy Act (FIPPA)
  • willingness to travel within region – and as such will require a current and valid driver’s license.
